A practical course for small boards

Protect the money. Protect the people.

Six simple safeguards for a volunteer organization's money, so no one is relying on trust alone. About an hour, with templates for your next board meeting.

One person's hand slides a sealed envelope into a locked drop-box while a second person's hand holds the key.

Sound familiar?

Everyone trusts the treasurer. That isn't the problem.

It's 10 pm after the tournament, and one tired volunteer counts the cash alone. A stack of cheques gets signed in advance "just to keep things moving." The treasurer approves their own reimbursement, because who else would? The board is told that "the treasurer and Peter looked at the statement."

Nobody here is dishonest. But if something ever went wrong, could anyone show that it didn't?

The idea

We trust the people. We also need a system that doesn't depend on trust alone.

A good system protects the organization, and it protects the volunteers too. It means nobody ever has to say "just take my word for it."

What's included

Seven short lessons, and everything to put them to work.

  • How trust and a system work together, and why one isn't a substitute for the other.
  • Money in: counting, depositing and, where it makes sense, taking less cash.
  • Money out: who approves payments and reimbursements.
  • Keeping watch: what the board should see each month, and how to handle conflicts of interest.
  • A practice exercise: spot what needs a question on a real-looking bank statement.
  • A four-question plan builder that recommends a level for every rule.
  • A take-home kit: a board motion, cash count sheet, volunteer posting, reimbursement form, conflict-of-interest declaration and monthly bank review checklist.

An honest note

This isn't fraud detection.

These safeguards won't stop a determined fraudster, and the course doesn't pretend otherwise. What they do is make honest mistakes visible, make questions easy to ask, and give volunteers one clear, shared way of handling money.

Boards aren't expected to detect clever deception. They're expected to look, ask questions and speak up when something doesn't sit right.
